- Organization name and workspace details
- Role and membership information within your organization
- Account preferences and settings

- Queue participation, position history, and wait times
- Stall interactions including check-ins, check-outs, and reservations
- Timestamps and activity logs
- Notification delivery and response data
- Violation reports you submit or are associated with
c. Device and Technical Data
- IP address and approximate location derived from it
- Browser type and version
- Device identifiers and operating system
- Log data including access times and pages visited
- Performance and error data
d. Integration Data
If you connect third-party services such as Slack:
- Slack workspace identifiers and user IDs
- Email address used to link your Slack and VoltQueue accounts
- OAuth access tokens (encrypted and stored securely)
e. Uploaded Content
- Photos submitted for stall override verification or dispute documentation
- Any other files or attachments you submit through the Service
2. How We Use Your Information
We use data to:
- Provide, operate, and maintain the Service
- Manage queues, stall reservations, and coordination workflows
- Send notifications via email, in-app alerts, and Slack direct messages
- Process and display violation reports and administrative actions
- Analyze usage patterns to improve features and performance
- Ensure security, prevent abuse, and investigate misuse
- Communicate service updates, billing information, and support responses
- Comply with applicable legal obligations
3. Legal Basis for Processing (GDPR)
Where the General Data Protection Regulation (GDPR) applies, we process personal data on the following legal bases:
- Contractual necessity - to provide the Service you have signed up for
- Legitimate interests - to improve the Service, ensure security, and prevent fraud
- Consent - where explicitly obtained, such as for optional integrations

4. Data Sharing

- Integration partners - such as Slack, only to the extent necessary to operate connected features
- Your organization - admins within your organization may have access to your usage data, queue history, and activity logs as part of the Service
- Legal authorities - when required by law, subpoena, or to protect our legal rights
5. VoltQueue Internal Administration
VoltQueue personnel with super-admin access (limited to a single designated account) may access the following data across all organizations for the purposes of operating, supporting, and improving the Service:
- Organization names, slugs, and account owner email addresses
- Number of sites (workspaces), charging stalls, and registered members per organization
- Account creation dates
- Slack integration status and connected workspace name (not message content)
- Live and historical queue activity, including the number of users currently in queue and reservation states
- Stall violation reports, including reporting user identity, reported stall, report status, and timestamps
- Aggregate usage metrics used to monitor platform health and inform business decisions
This access is used solely for customer support, fraud prevention, platform monitoring, and product improvement. VoltQueue does not access the content of Slack messages or any data beyond what is described above. Internal access is logged and subject to our internal data governance policies.
6. Data Storage and Security
We store data using reputable cloud infrastructure providers and apply industry-standard safeguards, including:
- Encryption in transit via HTTPS/TLS
- Encrypted storage for sensitive credentials and tokens
- Role-based access controls limiting internal data access
- Regular security reviews and monitoring
No system is completely secure. We cannot guarantee absolute security and are not responsible for unauthorized access beyond our reasonable control.
7. International Data Transfers
Your data may be stored and processed in the United States or other countries where our service providers operate. We take appropriate steps to ensure that transfers outside your jurisdiction comply with applicable data protection laws, including the use of standard contractual clauses where required.
8. Data Retention
We retain personal data:
- For as long as your account is active or as needed to provide the Service
- As required by law, regulation, or legitimate business purposes such as dispute resolution and billing records
- Activity logs and queue history may be retained for analytical and audit purposes
When data is no longer needed, we delete or anonymize it in a manner consistent with our security practices.
